The Payroll Coordinator is responsible for processing the biweekly payroll for all categories of employees within the Department of Intercollegiate Athletics (ICA). This includes creating, updating, and processing changes and/or terminations to employment appointments and other documents to meet payroll deadlines; and review submitted event payroll sheets, create event spreadsheet, and consolidate to initiate event payments in payroll system. Accurately fulfilling payroll functions: updating salaries/hourly rates, processing new hire employment forms, performing exit payroll system processes, monitoring and maintaining leave records, managing international employees with visa documentation; and understanding tax implications and processing requirements, tracking employment agreements, and updating employee information for ICA electronic directories and organizational charts. Collaborate with faculty and staff to maintain updated annual and/or seasonal employment forms/agreements. Create and implement training sessions for supervisors; track the various provisions within the coaches' contracts; keep and maintain the official personnel records according to rules and regulations of the University; prepare various staffing and financial reports as requested; and assist with Human Resources responsibilities, to include but not limited to, recruiting of new hires, coordination of searches, creating onboarding packets, correspondence and cross-training with new hires, and developing compliance procedures, etc. The Payroll Coordinator must cultivate employee confidence, protect payroll operations, keep information secure and maintain a strict confidentiality for the Human Resources actions within ICA and perform other related duties as assigned.
Qualifications: Bachelor's degree or equivalent combination of education, training and/or experience and a minimum of three years of experience in payroll, human resources, accounting or a related field with basic knowledge of human resources policies and procedures is required. The successful candidate will be self-motivated, detail oriented and highly organized, including the ability to plan, prioritize time, and execute in a fast paced, high volume, deadline driven environment. Possess strong computer skills and the ability to work independently with efficiency as well as working effectively within a team environment; ability to build relationships with diverse populations, display good judgment and decision making, and maintain confidentiality; customer service oriented approach operating in a professional and flexible manner, strong communication skills both verbally and in writing to convey technical information in a clear manner and provide guidance using diplomacy and discretion in all interactions. Bachelor's degree is preferred. Experience using the university's software such as Workday, PHR, ARES, Elf, eTerp and reporting software is preferred.
